We use Accruent EMS to help build transparency for room availability for our stakeholders: students and staff. The use case for our org is having different stakeholders with different booking privileges, whether it's boardrooms, multipurpose rooms, hoteling stations, promotional tables. Through the Accruent EMS web app, we enable some stakeholders to place a tentative hold on the space and then the room owners approve the space without the need to go through multiple iterations of emails to request a space. Other stakeholders use the desktop client to see and request for space.

Accruent EMS Software is being used by our department primarily, the University Conference Center, to manage our meeting and event spaces, as well as all physical resources (equipment, A/V, etc.) associated with that. We also use this to track and manage our client database. In addition, it allows us to produce our contracts and develop and generate several reporting features that benefit our business.
  • Booking/reservation of space - manages convertible/shared spaces (such as multi-section breakout rooms) exceptionally well.
  • Group/client management - tracking of contacts and associated reservations
  • Reporting - easy to build custom reports and a plethora of useful, standard reports
  • User Interface - could look a little more modern and cleaner
  • Staffing/event coordinator management - develop more support for managerial tracking and support of event planner staff use/reservations
  • Automated report delivery message text - ability to add a email message/body to automated report delivery
Reminders feature works very well as we book, track, and plan for reservations/events - we use Reminders to inform client of and keep track of the payment due date, event layout finalization deadline, and contract due date. We also use many other reminders and will soon start implementing notification reminders to automatically notify clients of similar types of event planning aspects/steps.

The whole firm uses Accruent EMS to book conference rooms along with any additional services in those rooms. It allows us to have a complete look at meetings firm-wide. It also allows us to track the client matters for those rooms.
  • Easy to use calendaring system for all conference rooms firm-wide.
  • Allows add-on services for all of those rooms. These services can be customized per office.
  • Track billing (if required) of those services
  • Allow access to the system by role so some users can edit and others can just view.
  • Reporting can be confusing for new users.
  • Mobile app that shows technicians their responsibilities (this may be available but we haven't implemented it)
  • Easier Administration. So many of the features are not intuitive where you would edit them. If this could be streamlined, that would be great.
Since it is an application for many uses, we had to customize it to get it to fit our needs. Accruent EMS has a nice capability for that. If there could be a set system for each use case, it may have been easier to get set up. We did a lot of training and tweaking in the beginning to get it to what we needed.

We currently use EMS to manage all our meetings and videoconference meetings across our 10 offices. Each office Conference Center team will manage the super user side of it and each employee has access to the web app version through our company portal.

When we first purchased EMS we were very pleased with the product and installation process. As we continue to expand our services and the need for EMS we experience a few challenges that the EMS support team hasn't been able to address for us (issues somewhat basic which we have entered in numerous service tickets for a fix). I still see a decline in customer service from the helpline to our relationship with the account manager. At this point we are trying to pay for our yearly invoice and I have contacted EMS/Accruent by email and phone 4x to receive a copy of our invoice, and I'm still waiting to receive it even after our account manager received my request and 2 follow up emails after my call. Examples like this show EMS decline in customer service.

Accruent EMS is used by our organization to schedule meetings and events (on and offsite), visitor offices, and apartments. It is also used to manage technology, catering, and facility needs. It is used across the entire company by coordinators to schedule requests, service teams, and employees to submit requests. It allows us to use one platform for all events throughout our firm, as well as to report on meetings and events and billing.
  • Multifunctional. Offers a variety of functions for different purposes.
  • Wide array of reporting, from basic simple reports to complex reports including all details and billing. Reports can also be customizable and are very easy to follow.
  • Easy to learn and train on--it's very easy to understand and follow.
  • Notifications could be more customizable.
  • When adding a new room or resource, there are multiple places to go to be sure it has been added to all the appropriate areas, templates, etc. Would be great if that could all be addressed in one place when initially adding the item.
  • Accruent EMS is very robust, which is great. But it would have been great to know the different ways it can be used prior to the configuration process to help better determine the best configuration and setup for our company.
Accruent EMS Software is very well suited for conference room scheduling and adding services. Reporting can be customized to show different information based on what you want to report on. This is very beneficial when giving different service teams reports for only their items or being able to include additional information for their reference if needed.

We are currently using EMS in the business school at our university. We are also in the midst of bringing it onboard to use it across campus. We use EMS to book rooms, block rooms, upload classroom schedules, hoteling, breakout rooms bookings to host a variety of bookings (workshops, classes, internal meetings etc).
  • EMS has the ability to create reports on room usage and booking rates. This assistance us in justifying expansions in our building.
  • EMS also has the ability to show the rate of bookings, how many bookings are being creating, and by who. This allows us to hire more resouraces based on these stats.
  • EMS can improve on their copy and paste feature. Currently you can not copy and paste on multiple bookings without losing the original content of the copy. I have made a report regarding this.
  • Have more than two contacts on a reservation. For example, if there are three leads on a event, then we can only input 2 contact info
I would recommend EMS for our new nursing building that will be opening up in the next few months. EMS would be great because this nursing building will not only have classes taking place but also housing.

EMS is being used to manage space and services in our Student Union Building. It addresses the the high volume of space requests, and inventory tracking. We use it to push a master calendar, bill for our event services as well as provide comprehensive space utilization reporting. With a 5 tier rat structure and varying access to different group EMS is the best tool for our job.
  • It has excellent stock and customization reports. We have a responsibility to communicate the activity in the building to multiple stakeholders (dining, custodial etc) EMS allows us to create a custom report and automate it to send so we never miss a communication
  • It has a robust amount of tools to assist you in both space and service management. The way the Process Templates (web intake forms) have been designed allow us to use logic based reasoning so that one form can handle complex events all the way down to a simple boardroom reservation.
  • It has numerous integrations available to help make a seamless event management process including connections to 7pointOps and Campus Labs Engage which we use for our Student Organizations
  • We desperately wish there was a simpler way to do invoicing notifications to our clients rather than the manual email process
  • It would be excellent to simplify the rate schedule and pricing plan process. There are almost too many ways to change pricing. The ability to import an excel document of new pricing would make our lives much easier.
EMS is a great tool for anyone looking to streamline their space booking and service delivery process. There are many products to schedule space however, EMS is a true event management software that building in the ability to notify the various vendors for an event of service deliver changes and requests

Our firm has been using EMS software for the last 20 years. The software has streamlined our conference room booking and catering/hospitality services. We use many of the reports and email confirmation service.

EMS is used across the FDA organization for meeting room reservations and hoteling. By using EMS, users are able to confidently reserve a space for private meetings with colleagues, business officials and reserve temporary workspace for themselves with confidence that the space will be available for them when they show up at the reserved time.
  • EMS makes is very simple to find rooms for multiple dates in a recurring meeting. Since users at our organization tend to book rooms far in advance, the same room isn't always available for the complete duration of a recurrence and with EMS conflict resolution it allows the users to find an alternate room for an unavailable date with a few simple clicks without having to leave the current reservation.
  • EMS notifications are great for our users to remind them that they have spaced reserved. It's that extra reminder sometimes that pushes the user to cancel any reserved rooms that they no longer need. This enables the room to be reserved by others which is very valuable at the FDA.
  • The new ability to select and reserve a room from Browse Locations in 44.1 is a time saver and is very valuable to our users. Often times people need a last minute room which can be hard to find at the FDA, so to provide them with a schedule view of all rooms and find an opening and select it is very convenient and makes the process less time consuming.
  • EMS for Outlook 44.1 now has the ability to resolve any conflicts right from the add-in. This is the greatest benefit and improvement that has happened to the add-in. It very greatly reduces the number of conflicts created by users and helps prevent users from showing up to a room they think they have, but actually don’t.
  • I do wish that EMS Room Sign App had some simpler ways to authenticate users. We would love to have the End Now button activated on our Signs, but do not feel confident that other users won't use it inappropriately. If there was a simple way to authenticate without RFID or a card reader that would be a huge help. Perhaps an authentication code attached to the meeting reservation?
EMS Web App and EMS for Outlook are great with conflict resolution so that the users can always be confident that the room they are booking will not have any conflicts. Furthermore, when making a recurring reservation the users can find alternate rooms on dates that are unavailable at the same time as making the initial reservation.

We use EMS for bookings for events and meetings and exporting academic schedules to the academic book. We will be implementing the automatic room scheduling for the academic book very soon.

EMS software is being used across our whole organization. Our company has over 10,000 employees, different teams and locations. EMS helps us by allowing users to book room spaces for meetings or workspaces.
  • I like that EMS has the ability to create different templates for different types of rooms.
  • I like the ability to customize a templates experience for users such as allowing specific users to use the template as well as if room needs to be checked in to we can include this feature.
  • I like the Platform services service, which provides most of the functionalities EMS has to offer to our custom applications.
  • Platform services sometimes needs a little improvement such as compatibility and features that the web app has and platform services does not provide such as room types.
  • Platform services needs to include the ability to include favorites rooms that you can find within the web app.
EMS platform services is well suited to be included in custom applications. Some features are not offered in this service that you would find in the Web app but the service itself is great!

I use EMS to book rooms in our conference center and it is also used throughout the whole organization to book rooms in other parts of the office. Helps us book rooms more efficiently.
  • We rarely run in to any conflicts while using EMS which is great for an organization that uses conference rooms regularly.
  • There are numerous reports you can run to keep organized. Reports for catering, AV equipment needed, more tables, chairs, etc...
  • Adrienne at EMS is always quick at responding and helping us troubleshoot any issues we may run in to.
  • Although the reports can be very detailed, sometimes we need them to be more simple for quick and easy reading.
  • We had issues with our panels with people checking in and it kicking them out of the room regardless.
Well-suited for a large conference center area with many requests from users. It would be great to 2-way sync in Outlook and EMS. I could see that being an issue in some companies.

We use EMS organization-wide. We have a small conference center plus internal meeting rooms and conference bridge lines that we book through EMS. We have different price structures for internal and external clients and use various resources including AV, catering, and facilities.
  • Flexibility. We can easily have different rate plans for our internal departments and for our external clients.
  • The new web app is extremely intuitive and makes it super easy for general staff to reserve space.
  • We can’t automatically associate an additional resource with external reservations. We charge a facilities set up fee for every room and currently have to add it manually to every booking.
  • There’s no “rapid entry” of resources. Example, our event coordinators enter an agenda for every meeting but can’t do it all at once—they have to go back and enter another line for each different agenda item.
I can’t speak for other industries, but for us as an event-based [company] it works well. We can easily view and book space, add AV/catering, etc., and all appropriate parties can get notified.

It is being used for scheduling trainings and meetings for hospital employees. EMS is used across our campus location and it helps with managing multiple scheduling events and organizes them.

  • I wish there was a way to combine two rooms into one reservation if they are connected rooms that separate by a wall.
I think it is great that there is no way to double book something, rooms are visible from a web browser and they can easily manage space. The room cards and activity sheets are great too!

Organizational wide to reserve over 40 conference rooms and services such as catering, AV and Facilities. We have dispatched the Web App to all users and the Desktop version to Managers and more prolific Executive Assistants.

  • Combine Desktop with Web App so both types of users have the same experience. It is difficult to train and update two populations
  • There are some limitations to configurations that I feel are difficult to negotiate such as the parameters

May not be good right now for mobile app use. The Outlook plug-in is not as integrated as stated during the evaluation period. It still has some problems and can cause Outlook to crash. I have received feedback from my colleagues also stating the instability of the Outlook plug-in. It is great for making reservations and adding services through the use of templates.

It is not well suited for granting different access to different user populations.

We use it for booking rooms throughout three Colleges: Cypress, Fullerton, NOCE. Currently, it is being used by the whole organization which includes multiple departments throughout the three campuses. EMS helps everyone manage building resources better. It allows them to see room's availability and book the rooms they need for hosting all events at the campuses.

  • Shopping cart feature is needed with the ability for users to make payment. This will allow users to easily pay for events that they book
  • EMS needs a page that showcases all the modules, and whether or not those features are included or a paid add-on
  • A public sandbox that allows users to test different features of the EMS application. This can help users decide whether or not a paid module they do not have is a worthwhile investment for their organization.
Good for booking but still not compliant with some necessary things like ADA. Currently, there are so many features in the EMS application but we do not know if we want anything more than what we have. Since there is no sandbox for us to explore new features, we are not sure if there are any features that can add value to our organization.

My department (Event Services) uses EMS for space reservations and managing resources. It is being used predominantly by the Catering Department and us. There are a couple of other colleges and one other department on campus that use the software, but it is not used campus-wide. We only share a database with Catering.
  • It is very robust.
  • It is very "customizable".
  • I am a basic user of this software. I know how to use it to do my job, but - I don't know what I don't know. I know there is some functionality that we haven't fully utilized based on the conference I just attended. I now need to try and unpack the information I learned recently to better use what currently exists before I can provide suggestions for improvement.
EMS is very well suited for room reservations and resource management. The reminders, comments, and confirmation communication are integral in getting all the details and following up with customers to make sure that student organizations are complying with policies, and that all of our customers have a good experience in our building.

We use EMS Software to schedule our classes and external room space rentals. We have multiple buildings and use EMS Software differently at each location. EMS Software addresses communication between departments that service internal and external events. It allows department staff to delegate work assignments to the right departments for all internal and external services provided for events, whether it's a class, meeting or training.
  • Books and reserves space for classes, meetings and training easily.
  • Allows you to put in specific services needed for any event.
  • Communicates between departments through reminders and comments sent directly through the software for immediate changes and updates. This is so important to have, as it gives us the opportunity to address changes quickly so we are offering great customer service.
  • The web app has not been the easiest to navigate through. I'm looking to implement the use of the web app for users here in my office, but have not successfully been able to do so.
  • I also feel that we should be able to re-invoice if an event has been billed its final invoice before a room change took place, making the space need more. Right now I don't have the ability to do so.
  • Figuring out all the tabs' functionalities so that my tool bar only shows the ones prevalent to my daily use of the software.

The software is well suited for booking spaces, detailing services and equipment, and invoicing and creating documents such as agreements, confirmations, invoices, etc.

EMS Software does so much to make your daily tasks easier to navigate through, but you can become overwhelmed when you don't know all that it does and how to properly navigate through the configurations.

EMS is rolled out through our entire university. We have our media center as well as our catering and dining services and we are working on getting our facilities office rolled into the fold. Space reservation was fragmented prior to the implementation of the software.
  • Classroom utilization: this process used to take months to do and now it can be done in a week.
  • Getting granular with particular groups and events to find out any info you need
  • Creating custom templates for web users to grant the access that is applicable to all parties involved
  • Mobile usage for v43 and v44.0 is just non-existent
  • Better ability to use on a Mac! This is a huge downfall as my university is heavy into the Apple ecosystem
  • Managing services can sometimes be difficult as when prices with resources don't always coordinate
For campuses that are fragmented this is a highly useful tool that brought our campus all under one roof for data collection.

Currently it is being used by a number of departments for scheduling events. Further implementation will increase the number of departments. The most important piece at this point is that classes and events are scheduled in the same database as many of the spaces are shared.
  • EMS is easy to learn and pretty intuitive. It is easy to train new users.
  • EMS allows schedulers to choose a preferred way to interact with the product. Some use visual cues, others drop-down menus. It is great that there is more than one way to access it.
  • We are just started with automated reports. It is a great way to provide event schedules to those who do not use the software.
  • One feature that needs improvement is inventory of resources. When you attempt to assign a resource that is not available at a give time, you receive an alert that it is not available. However, you are allowed to assign that resource. You can generate a report of assigned resources but that is an added step.
  • The size of the text within the software. It is NOT scalable. It is roughly 9 pt. What worked for my eyes ten years ago is now a challenge.
It is great for use in higher education where classes and events can be scheduled in the same database. There are many standard reports plus the ability to create queries when a specific report does not exist (although there is a bit of a learning curve for queries). I couldn't imagine going back to the paper and pencil method of scheduling. The ability to automate reports as well as to easily update reports is very important.

EMS is used in our student center on campus. Students, faculty, and staff are able to view spaces and book rooms in the building on their own. This saves me a lot of time from inputting repetitive info. I use EMS to communicate with all of our service providers as well and producing quality data.
  • Room statistics. I use this a lot when I have to prove a case, or ask for more facility money.
  • Set up worksheet. This can be manipulated for our services providers to only see the info that pertains to them based on categories.
  • Web App - Our users are able to do everything themselves anywhere, anytime for booking rooms and adding set up details. Including making changes/edits at a later on date!
  • At my university I am struggling to get the push notifications to work - I have a feeling it is some setup with the firewall and our IT people.
  • This past year we definitely felt the company changes - there was a struggle with the customer service aspect, after attending the conference, I really got the impression that this is something they are going to work on and with Accruent/EMS.
  • It would be nice if there was a diagram system within EMS instead of having to use an outside one like Social Tables.
Our campus uses Ad Astra for academic scheduling. By far, I hear that EMS is MUCH easier to navigate when reserving space in our building versus a room somewhere else on campus.

EMS is used by our Student Union, Recreation Center, Career Services Center & Hospitality Services. Used to book real estate and schedule catering
  • User friendly - everyday users and super users can interface about events in one location
  • Integrates with other platforms we use - Social Tables, Four Winds, Outlook
  • Our issues are mostly with our internal ITS division. We are exploring new services with the Accruent fabric.
I'm not particularly tech savvy, EMS is easy to use and configure. We are hoping that our entire campus will switch to the system.

EMS is currently used across the entire university campus. Currently all the spaces on campus are built into EMS, I am working on getting people in those departments to be on board with using EMS and having their spaces be reservable through the web app for students and departments.

We use EMS to manage classroom, meeting and event space. As well as non-room items like banner space, or van use. We also use EMS to manage services, manage classroom support, invoice and track payments. EMS is used across most of the university. From the Memorial Art Gallery, to the Eastman School of Music, athletics, student activities, Med Center.....etc. It allows the multiple entities to share common space, such as our registrar, events, and student activities.
  • EMS is really good at providing data. The query builder allows you to pull a lot of data to answer a lot of questions.
  • Using the Web App is extremely helpful to reservation coordinators. Allowing users to search for their own space reduces the number of phone calls from those looking for available rooms.
  • EMS is great for maintaining our event services inventory. It helps prevent us from double booking gear.
  • I’d love it if, when EMS changes features they can provide an ‘off’ switch. So I can disable the new wonderful feature that my users hate.
EMS is great for managing bookings for space. EMS might not be best at creating schedules for individuals.
